  • Data entry of accounts payable and receivable
  • Check for approved Payables/IR (Yardi) not posted by managers and post if necessary
  • Manage Yardi workflow
  • Reconcile bank accounts


  • Review all Security Deposit refunds processed by managers for possible errors (before processing the payment) and notify Controller if Security Deposit Disposition leave a negative balance more than $50
  • Print checks after checking for available funds and arrange with CFO initials.


  • Payroll: review timesheets, secure approvals and submit to Paychex
  • Payroll Reimbursements: within 1 week of Payroll, secure all reimbursements to WSI


  • Process monthly bank draws
  • Resident ACH: review monthly auto-debits are up to date and run all auto-debits
  • Management Fees: process Management Fee calculation to create payables
  • Impounds: process all monthly impounds (e.g., R&M)
  • Credit Cards: process credit card payments before due date to avoid unnecessary fees
  • 2nd of Month Bills: automate and pay all regular monthly bills (e.g., CAM, mortgage) even without invoices received


  • Compliance with insurance certificates
  • 1099s and 1096: Ensure all 1099s are process and 1096 submitted to IRS
  • Vendor Set-up: Set up and maintain updated vendor profiles
  • Maintain records of financial transactions
  • Maintain historical records by filing documents



  • Reconciliation (see above)
  • Insufficient Funds (NSF) re bounced receivables (Every morning)


  • Junk Fees (Every 15th of the Month)
  • Bank Reconciliation (Every 1st of the Month)
  • Work Order (Every 1st of the Month)
  • Occupancy (Every 15th of the Month)
  • R&M Replacement (Every 15th of the Month)
  • Delinquency (Every 10th of the Month).
