HUMAN RESOURCES ASSISTANT

Requirements:
Must have 2+ years in a HR Administrator/Coordinator role within a corporate professional work environment, must have strong communication skills (both verbal and written, with strong proofreading and editing skills) strong customer service skills; must have strong administrative skills to include intermediate knowledge of: Word, Excel, and PowerPoint; ability to handle highly confidential (HR information) with professionalism; ability to multi-task effectively and still maintain attention to detail; have a sense of urgency in their work while being accurate; Bachelor's Degree required (ideally in HR or related field)

The Coordinator will support the Vice President, Human Resources on a day to day basis with the administration and operations of the Corporate Human Resources Department. General responsibilities include but are not limited to: Maintain and keep up-to-date all HR reporting documents (Employees Titles List, New Hire & Terminations spreadsheet, Promotions spreadsheet, Current Temps spreadsheet and the company Organizational Chart). Maintain the AAP Applicant Logs as a part of the company’s affirmative action plan. Help to oversee and manage the Corporate Receptionist and Office Assistant positions. Code and process all department invoices in Yardi, when advised process all background checks and keep current on the status until completion. Put together and send out all new hire correspondence as a part of the on-boarding process. Act as a point of contact for questions regarding group health benefits. As a part of the affirmative action plan requirements, post open positions to the Cal Jobs website and send out email communication to our contact at the Employee Development Department (EDD) and our contacts at other Community Based Organizations (CBO). Maintain and update CBO/EDD spreadsheets, prepare COBRA correspondence, update and distribute the Employee Directory for the company, send New User and Disable User requests to IT through SharePoint for all new employees, temps, and contract workers. Format Job Descriptions for general postings as well as for CBO/EDD postings as directed. Assist with coordination of the various supervisor and/or leadership training as well as the bi-annual workplace behavior training. Assist the Vice President, Human Resources in providing the necessary information for the Annual Sustainability Report, Global Reporting Initiative, and the Global Real Estate Sustainability Benchmark. Coordinate interviews as directed, coordinate the details and planning for or all Morale Booster “foodie” events and use help from the Office Assistant as necessary. Track and file annual performance reviews for all employees of the company. Coordinate the VETS filing each year; file a Worker’s Compensation Claim to insurance, participate in and/or conduct Exit Interviews and meetings. Help to oversee and manage the Corporate Receptionist and Office Assistant positions and perform other duties and projects as assigned.
