We are a busy and growing west San Fernando valley insurance brokerage seeking a talented and motivated individual to join our team as Administrative Assistant / Receptionist to assist with providing our clients exceptional service and support. Candidates must be detail-oriented, focused, and organized with the ability to work independently and multitask effectively. The right candidate will be able to take initiative, solve problems, and work under the pressure of deadlines. This position also provides an opportunity for career growth and advancement. Key Responsibilities · Maintain a safe and clean general office area · Receive, screen, and route incoming calls to the appropriate team member · Greet and assist visitors. · Receive, sort, and send daily mail, faxes, email, etc. · Assist administrative team as needed with projects. · Assist with office calendar, coordinating appointments and meetings. · Prepare routine correspondence as directed. · Production client documents and packages. · In charge of taking inventory and ordering office supplies. · Research and resolve routine problems as they arise · In charge of opening/closing duties. · Must be able to lift 35 pounds. Skills / Qualifications · 1-2 years of related experience preferred · High school diploma / some college · Friendly and positive demeanor with co-workers, clients, and vendors · Excellent organizational skills and attention to detail · Proficient in Microsoft Office (Excel, Word, and Outlook) and Adobe · Knowledge of correct English usage, grammar, spelling, punctuation and vocabulary · Shows initiative and the desire to grow professionally · Ability to multi-task, complete tasks accurately with minimal supervision, and meet deadlines · Strong commitment to providing excellent client service and support · Excellent telephone etiquette · Taking instruction and following established procedure · Must have own reliable vehicle · Insurance / Employee benefits background is helpful, but not required We offer competitive salaries and benefits, including: medical/dental/vision plans, life and disability insurance.
