What We're Looking For: Crystal Stairs, Inc. seeks an Administrative Specialist who oversees and performs all administrative functions for the CFO and Finance Department and acts as the primary contact/liaison for both internal and external clients including the CEO, and other Executives and Board members. In this role the Administrative Specialist will assist in the management of the CFO's office, including answering phone calls, file maintenance and organization, preparing documents, composing routine correspondence and announcements, receiving visitors, faxing/receiving messages and correspondence, expediting mail handling assist with general and Board meeting planning and implementation; including creating and distributing meeting agendas, materials, minutes and notes. The Administrative Specialist will create and maintain confidential financial, corporate and general files, and time keeping records. Perform other duties as assigned.EXPERIENCE, KNOWLEDGE, SKILLS AND ABILITIES YOU SHOULD POSSESS:A minimum of 4 years demonstrated experience providing administrative support to executive management staff or office management experience.Two years of college; Bachelor's degree preferred. Relevant work experience may be substituted for college level education.Proficient in intranet website maintenance and Microsoft Office programs, including Word, Excel, Outlook, PowerPoint and other data entry programs.Ability to use a Dictaphone; typing speed of 45+ wpm with 85% accuracy rate.Strong meeting and travel coordination expertise.Must have exceptional customer service skills, with the ability to perform using tact and diplomacy with all levels of the organization. Requires excellent verbal and written communication skills. Proficiency in managing telephone calls, including the ability to take and direct messages to appropriate staff for action.Highly skillful in investigating and analyzing problems and seeking clarification.Must be flexible and able to manage multiple tasks and handle changing priorities and deadlines. Strong organizational and administrative skills. Requires considerable accuracy and attention to detail and ability to produce under tight deadlines.Ability to learn specialized job related vocabulary and acronyms.Requires the exercise of independent judgment and discretion in analyzing situations and in the determination of actions to be taken.Requires high degree of confidentiality and discretion.Must exercise sound judgment in determining which matters require immediate attention.Ability to work under minimal supervision; able to plan, organize and prioritize work.
