Job DescriptionThe Office Support Specialist will support the Office Support Team Leader with day to day regional office management. Some of the duties include security key card management, office supply orders, heading up the regional office safety committee, supporting the regional office receptionist team, etc.. This is a Full Time position but the weekly hours will be limited to 30 per week. Essential Duties: + Assist Office Support Team Leader with special event planning and execution as needed. + Assist with coordination of regular office activities, meetings, events and trainings, bringing teams together to enhance their professional and personal development. + Assist in issuing and maintaining key cards, parking agreements, desk phones, conference call lines and satellite phones. + Assist in submitting check requests and approving invoices. + Assist with mail programs and equipment including UPS, FedEx and USPS. + Assist in the production and distribution of signage, organizational charts and contact cards. + Provide reception desk support/coverage, voicemail support and mail distribution as needed. + Assist with ensuring consistent organization and cleanliness of the office and proper cleaning schedules are in place, processes are established and followed through on. + Assist with Office Emergency Preparedness and Safety plans are up to date and communicated + Assist with the maintenance of the Quiet Room, Lactation Room and Storage Room + Assist with Office Orientation for new hires new to the regional office. + Assist with ensuring business continuity plans are established, communicated, updated and continually top of mind. + Support Regional Office team members with facility questions and/or concerns + Primary contact for on boarding/off boarding of SPS team members + Ensure checks are deposited at local bank + Primary contact for p-card and Concur requests + Coordinate weekly food service for SPS office team members + Assist in maintenance of facility and/or regional SharePoint + Maintain spare equipment for office use + Maintain A/V video functionality in conference rooms + Printer management including toner replacement and recycling + Assist with annual asset/equipment inventory count + Provide administrative and project management support to the Regional Leadership team. + Perform other duties as assigned by supervisor and regional leadership. Job Requirements: + Ability to work independently and to carry out assignments to completion in a timely manner with little or no direction. Not afraid to roll up the sleeves and be a doer. + The ability to demonstrate recent regular successful interaction with all levels of personnel; regional leadership and team members is a plus + Excellent communication skills; written, verbal and listening. + Extremely professional, organized, detail oriented and able to multi-task many priorities while maintaining high level of quality and accuracy. + Ability to be innovative and problem solve, always seeking and creating efficiencies and solutions + High level of team member and customer/team member service with flexibility, patience and compassion + Thorough understanding and support of our business, core values, and mission statement. + Ability to assist with maintaining a fun, positive work environment + Professional interaction within all levels of Whole Foods Market and outside contacts. + Responsible and trustworthy with strong, honest work ethic and high standard of excellence. + Strong initiative, self-motivation with ability to work in the 'gray' + Ability to be flexible with working hours as needed. + Positive attitude, energy and sense of humor. + Excellent computer skills in MS Outlook, Excel, Word and PowerPoint including Internet research expertise At Whole Foods Market we provide a fair and equal employment opportunity for all team members and candidates regardless of race, color, religion, national origin, gender, sexual orientation, age, marital status, or disability.
